NacFest 2018...dust settles..

Of note: this year's event, while running with a few hiccups, was good in my humble opinion. That said, with larger outlays for shirts, can koozies (which will last us a while), and 2 years worth of dash plaques, and a slightly more costly dinner, have left the NAC with a net loss for the event roughly totaling 400 dollars. Registration was low, as was the take from a smaller raffle pool than we are used to seeing.
This is only sustainable for a short time, at best. Now questions are popping up about rocktoberfest at field and forest... my position has been made clear on that on the general board.
Now comes the brain buster:
Going forward, will there be an "event" in the fall at rausch/aoaa? I will be in Moab, so we can only do so much for supporting roles.
We need to discuss. So here I am saying that out loud.

Bwwaah!.... dismiss the net loss statement, intake from preregistration was not taken into account by my dumb math. The true number has to take that into account (credit my smart wife for pointing out that glaring omission). Duh.

To your question about an event at RC/AOAA this Fall .... well, to be brutally honest, I don't see it happening. We don't have an events coordinator, our president is inactive (I still love him though), you and Carol will be focused on Moab, and I'm swamped with new responsibilities at work.

Who is left to plan it?

Regarding NACFest, we need to do a full review of the finances. Can you send me all the expenses, as well as the take from the raffle and any at-the-door registration payments. Unless you still have some money to be deposited, we took a loss.

Pre NACFest balance: $3,078.62
On-line registration: $574.18
Check you wrote for expenses: -$1,000
Current balance: $2,652.80
Difference: -$425.82

As soon as I get to the bank to convert the cash back to a check , 490.00 will be coming back in, for a net "gain" of a big fat 65.00.
This included expense for this and last year's dash plaques, and enough drink koozies to keep around for some time as good will give-aways.
Attendance was down, and food costs were higher going to the BBQ. I'm strongly leaning toward going back to buddy's next year.
Profit is not a be all end all for a non-profit, and the expense check written out covered the shirts koozies and plaques...I was still left covering dinner up front (no one takes starter checks).
We did fine.

Our president is inactive because he is on an oil rig in the middle of the gulf of Mexico, where internet access is almost nonexistent and cell phones are banned. In reality with travel back and forth, he is actually "home" 4 days...a month.
He had no idea, nor I, that that was where he would be at this point in his life when he took the position. As VP, it's my job to fill in and cover when he can't. So I am.
...He stepped in because I asked him to. Any problems or blame for anything at this point should lie with me, and me alone. It's my charge.

I totally agree about Paul. He's awesome and has a true heart for the club. I think he's a great pres. He's just off having awesome adventures .... can't blame him for that. It does however put a lot of pressure on you and Carol.

I agree, breaking even is perfectly fine for NACFest.

Well, break even is OK for this year since we are sitting on such a kitty as it stands right now. It's nice to have a cushion but I think you'd agree it might actually be a bit more than we should have.
I did make contact at York with a friend of Andy's that has another wheeling park, Burning Rock.
It's in W.VA, with nice camping amenities and 10,000 acres (yes, you read that right)... Much of their current trail system is still too narrow for vehicles but he made clear that there would be a lot of cutting over wintertime. How do you feel about a late fall or very early spring run there, perhaps donate some time and or money to help out? Maybe use money to donate equipment?
Just an idea in my head, nothing more at this time, but I also thought with enough lead time, given its location, we could even link up with the Midwest and southeast chapters for a joint run. Again, nothing more than an idea at the moment, your thoughts are appreciated.

P.s.s. don't you fret about me and Carol. The truth is that with each passing year our level of friendship deepens with the group. We have discussed it at length, and are both in agreement that we enjoy putting on the party for everyone. They are all worth it. I can't see us not being involved in handling that part of it, and truth be told we'd both like to do more, not less. I could go on forever, but trust me, we will continue to keep what we have, and build on it.

Honestly, I think we'd be hard pressed to get more than three rigs to go to West Virginia for an event this Fall.

But I totally agree we need to spend some money. What we need right now are just some simple one-day trail rides. The club could cover drinks and lunch. It'd be a great way to spend the money and get people out on the trails.

I like where you're heading with that, Jordan, that's a solid idea. Tim (skorpyo) has been trying to get a run together for I believe late August or early September but the response has been tepid. Maybe throwing in a campground dinner and provided lunch would get more interest? Let's both check on that and see if our schedules could accommodate that? I'd have no issue at at all with putting together a couple spreads for it ..?

Except that I would. I just looked at the date and it's later than I thought, and way too close to Moab for me to even think about doing it. If you can, great, but otherwise we'd probably need to delegate someone to handle it unless Paul can get there, and I've heard what his schedule has become with work..not saying its not a possibility, but at this point, an unknown.
