NacFest 2020 Discussion Thread

Hey all! Figured I'd better get the ball rolling early on general discussion for the 2020 Fest. Obviously we know we have a set date, and should probably get the word out sooner than later given the difficulties in getting sites at Twin Grove.
So, let's get chatting about what we'd like to see this year, it's never too early to set plans.

I'll just start off by saying I'm ok with posting the dates now with details (pricing, etc,) left as TBD.
Also in the coming days lll look to see if we need to pay to secure the clam bake pavilion again. It might be early for that given we may get it at least discounted if we have reserved guests already for them to reference. I'll pull what strings I can there.
Also, I'd like everyone to just think on other vendors that we could approach for raffle support. There were a couple i forgot about last year, so again, best to start thinking early.
It will be here before we know it.

I agree with posting dates now without pricing. January is the time to start hitting up some vendors as some I dealt with last year wanted about 6 month notice. See if maybe we can reserve the clam bake with a small deposit if need be? With final pricing to be discussed? Not really sure how that works out

Works for me, the earlier the better, this way people can put in for vacations and such.

Agreed Paul, glad to hear from you. I will make sure we have not just the naxja letterhead but also want to make a copy of our tax exemption certificate to send with it...

We should decide now what type (if any) of social media advertising we want to do.

It's frustrating to have 250 people on Facebook interested in an event, 175 say they are attending, and then have 4 of those people show up. That makes it hard on Rich and Carol.

I'd say we DO NOT create a Facebook event. We can certainly use Facebook to advertise that there IS an event, but it needs to direct people to the forum, or to the registration site that we control.

I liked the eventbrite system. People who signed up for that showed up.

FB event pages are good because they are self-advertising but otherwise yeah totally unreliable. Just ignore the attendance from that and rely exclusively on eventbrite for planning.

Just make sure the BOD all agrees to use eventbrite, and that Ben is on board with how to get the revenue into the bank account.

I'm ok with whatever works best for whomever is actually the one who has to deal with it, I.E., Ben! That's really the bottom line when it comes to event planning and monies involved. Of course, what structure is least costly to use is a consideration, but ease of use and a fully fleshed out pay site are as well. I wouldn't endorse the cheapest option if it entailed more work for anyone.

Hey all, just sending a reminder that nacfest 2020 is less than 6 months away!
We need to get something posted out there,...reserving catering for food and whatnot requires a fair lead time. We dont need to have a head count for a bit, but it would be good to spread the word early!

Got a PM from mac that we should have all gotten. Just have to send him a PM and he can set up the event forum it looks like. I have been a little crazy at work surpisingly lately but things are starting to slow down and I should be able to start contacting potential sponsors within a week or 2. Are we cool with using the same form letter I sent out last year? I can change dates and event dates easily enough.

Yes, I dont see why last year's form letter wouldn't still be good.
So mac is handling setting up the event forum? I'll need to look into why.

Hey all, just an fyi, Jordan and I have finally switched over the bank accounts, i still have to log into the registration site to see how it all works and what to adjust, I should have time in the next week or so, i will report back when i do. Building a new JEEP is sucking up my time...ugh.....

Actually Ben, the posting and descriptive parts of spreading the word about the event are not exactly my gig . The date has been set since nacfest last June. Why it's not common knowledge by now is not and shouldn't be my mantle to take.
That's why we have directors with titles that clearly state what their duties actually are.
We cover the event on the ground each year for a while now. Some media spreads can be handled by others bottom line.
I will no longer lean on my wife to fill the gaps.
